  • W-9 forms and tax identification information submitted for vendor credentialing
  • Vendor credentials, licenses, and certifications uploaded to the platform
  • Compliance status data, including verification results and expiration dates
  • Usage data related to our dashboard, vendor directory, and compliance tools

2. How We Use Information

We use collected information to:

  • Verify and validate COI documents using our AI-powered verification system
  • Monitor compliance status and send expiration alerts to property managers and vendors
  • Maintain the vendor directory with up-to-date compliance status and contact information
  • Generate audit-ready compliance reports for property management companies
  • Facilitate InsurePro insurance quotes for non-compliant vendors
  • Process W-9 documents for vendor credentialing purposes
  • Respond to demo requests and customer inquiries

3. Data Protection

We implement industry-standard security measures to protect your data. COI documents, W-9 forms, and vendor credentials are stored securely with encryption at rest and in transit. Access to sensitive documents is restricted to authorized personnel and the property management companies with whom the vendor has a relationship.

4. Third-Party Services

IDCore integrates with third-party services including InsurePro (insurance coverage), ResMan (property management system), and cloud infrastructure providers. When you use InsurePro to obtain insurance coverage, your information is shared with InsurePro in accordance with their privacy policy. Each third-party service is subject to their own privacy policies.

5. Data Retention

Compliance records, including COIs and W-9 documents, are retained for the duration of the vendor's relationship with the property management company and for a reasonable period thereafter to support audit requirements. You may request deletion of your data by contacting us.
